INVOICE

 

Purpose :Transaction form used to generate invoice

Search Invoice

The invoice can be searched by either entering RO number directly or selecting client or sub agent.

Criteria Action Data Entry
From RO Enter RO number for which invoice needs to be generated in the text box provided and click on the search button. The invoice gets generated if the RO number is valid and whose invoice has not still been generated.
From Client Select the client name from the drop down for whom the invoice needs to be generated and click on the search button. The invoice list contains RO whose invoice has not still been generated and which have no Sub Agent. To generate the invoice of a particular RO later, click on the generate later icon kept besides each RO.
From Sub Agent Select the sub agent name from the drop down for whom the invoice needs to be generated and click on the search button. The invoice list contains RO whose invoice has not still been generated and which have Sub Agent.

Details of Invoice

Field name Description Data Entry
To Displays name and address to whom the invoice is generated. The invoice is generated in the name of client only if there is no sub agent. It is generated in the name of sub agent if there exist any sub agent.
RO Lists RO numbers Data is preloaded as per search conditions
Heading Lists heading for each RO with client name in parenthesis if search is based on sub agent Data is preloaded as per search conditions
Publication Lists publication name for each RO with its editions in parenthesis Data is preloaded as per search conditions
Amount Lists the amount details Data is preloaded as per search conditions

Amount Details

Field name Description Data Entry
Gross Amount Specifies the gross amount of the RO list available. Preloaded summation of the amounts of the listed RO.
Discount in % Enter the required discount percentage. Manual entry (only numbers allowed-special character % not allowed)
Tax Specifies tax calculated with the values as mentioned in the database. Preloaded value. To change value of tax percentage, make required change in the Master Table.
Net Amount Specifies the net amount to be paid by client. Is calculated based on the discount and tax percent.

To Generate Invoice

Click on Save Invoice button to Generate invoice. The invoice can be printed using the print icon.
